Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

  • Outlook to Automatically Email

We have a requirement where the end-user is shown a dialogue box that asks for a Start & End Date.

On Clicking OK, we scan the records and check for those where the Status is Ready to Invoice.

Provided an email exists in the record, we want it for each record to launch Outlook and send a pdf of the invoice.

Everything up until outputting to Outlook we can do.

How do I get it to send an email automatically where the records meet the criteria?

Thanks for your help. It is much appreciated.

    Kind regards

Alex, I have not tried with Outlook or any other email client, but it will work as you require using Alphas own client.

Ted, our customers use Outlook as their email client, so a solution around it is preferred. Secondly, ten years ago we did precisely this with Alpha's client offering and we found it rather unwieldy to configure and run.
Reading about it now, it doesn't seem to have changed much.
I might have to output to a third party piece of software; but then I need to attach the invoice as a PDF to each message!!!
There again I could get some VBA written, but then I would have to rely on Microsoft upgrades and updates!!

          Thanks for replying.

            Alex, investigate the EMAIL_SEND() function.

I have used Reportmailer an Alpha add on in the past which did exactly what you require but not sure if it works with latest versions of both Alpha and Outlook.

If you use email_send(), using your 365 credentials you do not get it into any users sent folder which you may want. The way I get round this is cc the email to an individual to monitor or buy another mail account & cc it to that. You can set the cc in email_send().
have used this method for many years.

When you use Alpha's built in email, provided you have pop3 settings, it will go to their "Outlook" email account, or tp whatever their email address is. But, they can not email back to Alpha's email, which is a very trivial issue since they know who sent it and will have their email in Outlook with which to respond.

When I built my automated licensing process using the Alpha Client, I set it to retrieve emails on a schedule, parse the emails and reply to requests for a key, and sends out a license key.
So I know automation is possible with the Alpha Email Client.
