Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Record Counts in Reports

    Using A5v10.5, Win7x64
    I am trying to create a summary report displaying only counts of records. I have a Test Database that records computer parts tested. I need to create a report based on the value of a single field. The field name is "failed" and it is a logical field. Every record in the database, now about 13,000, has the value of this field either, failed = .T. to show that a part failed, or failed = .F. to show that a part passed. I would like the report to show the following:

    Total parts tested: (This would be the total number of parts (records) in the database or the number of parts tested during a period (a date field would be used to select the period)

    Total parts passed: (This would be based upon "failed = .F." for the parts in a selected period)

    Total parts failed: (This would be based upon "failed = .T." for the parts in a selected period)

    That is all I need on the report. No details of any fields, just counts. I think this should be pretty easy, but I am really struggling with it. Can anyone help?

    Re: Record Counts in Reports

    Mike,

    You should be able to create a calculated field for each summary using the expression builder.
    See attached screenshot of the report designer. Ignore the 'Warranty' field, this would be 'failed' field in your case (I didn't want to add that field in my database).
    Check the Count button.

    Reports.jpg

    So you should end up with expressions like:

    TotalPartsTested=count(failed,grp->detail,grp->Detail)

    TotalPartsPassed=count(failed=.T.,grp->detail,grp->Detail)

    TotalPartsFailed=count(failed=.F.,grp->detail,grp->Detail)

      Re: Record Counts in Reports

      Thank you Stephen. If I drag the "failed" field into the Detail section of the report and select "Count of the records," A5 creates the following for me:
      cnt_testmain_failed_for_Grand = count(testmain->failed,grp->Grand,grp->detail)

      I can then change the Summary field name to TotalPartsTested using the same summary expression of, count(testmain->failed,grp->Grand,grp->detail). When I preview the report it does indeed show me the total number of parts tested in the database, which is at this point, 13299.

      I then drag the "failed" field two more times into the Detail section again and make the following changes to the summary names and expressions:

      TotalPartsPassed = count(testmain->failed=.F.,grp->Grand,grp->detail)
      TotalPartsFailed = count(testmain->failed=.T.,grp->Grand,grp->detail)

      When I preview the report, it shows the total parts tested of 13299 for all three of the calculated fields. It seems to ignore the "failed=.T." and "failed=.F." in the summary expressions.
      Am I putting the calc fields in the wrong section of the report(I would really like them all to be in the Report Header). I want this report to be real simple, like,

      Report Title

      Total Parts Tested = xxx
      Total Parts Passed = yyy
      Total Parts Failed = zzz

      In addition, if drag a <New Calculated Field> into the report, no matter what section I create the calc filed in, it still ignores the .T. or .F. logical condition in the summary expression and gives me the total parts in the table(testmain). Is my syntax wrong? The Expression builder accepts what I have entered. I am at a loss.

        What is your backend, dbf or sql, if I may ask?

            Re: Record Counts in Reports

            Use something like this.

            cnt_abc_f_total = total(if(abc->tf=.f.,1,0),grp->Grand,grp->detail)
            cnt_abc_t_total = total(if(abc->tf=.t.,1,0),grp->Grand,grp->detail)

              Re: Record Counts in Reports

              Thank you Al. That appears to have done it. Evidently it was necessary to add the IF statement in order for the calculation string syntax to recognize the logical conditions of .T. and .F.
              Awesome!

                Re: Record Counts in Reports

                Just tried this and it works as well.

                count(Testspassed=.T..AND.Testsfailed=.T.,grp->Grand,grp->Detail)

                total(Testspassed=.T.,grp->Grand,grp->Detail)

                total(Testsfailed=.T.,grp->Grand,grp->Detail)

                Report.jpg

                More than one way to skin a cat ;-) Glad you sorted it out.
