Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Missing/skipping records after filtering? please help!

Hi there, we have databases with contact details on, roughly about 300 people on 2 different databases that we use on Alpha Five Version 9 Run Engine.

I have had complaints from the users that once they filter the section of the current people they need to ring that particular month that when they click next it is skipping records.

Until i exported it to excel and emailed it to the users to tick off once each had been phoned, 6 paying members had not been contacted for four months.

Anyone any ideas whether its a server problem or a software problem?

    Many thanks
    Bev

    Hi Beverley,

Assuming that it is not user error, I would suggest the issue is with the data, the filter is working correctly, but the data is not quite right.

One question, why have you got the data in separate databases?

Hi Keith, thanks for responding so promptly.

The two databases are for our surrogacy agency. One database for surrogates and the other one for couples/intended parents.

Its a very simple database, name, address, dob, current status (whether they have had a baby or are matched etc) web chat username and password and a section at the end to update chat comments every time we telephone them each month.

Im not sure what you mean by data error? The guy who set it up has moved to Australia and we cannot get hold of him. Hoping some of this info helps you to help me any further if possible.

      Thanks, Bev

There must be something in the data that makes these records give a negative result in your filter.

As the data is personal and very sensitive, can you make a copy of the application with dummy data and post it here?

This is a dummy entry of the data we store, its in excel, also theres a screenshot of the form view we use when we ring around, thanks.

I think it would be wise to see which couples got missed and then see if there is any difference in entries?

          ps thanks for your help

And what criteria are used to select the records? You did notice the two surnames don't match?
            There can be only one.

Hiya, this was just a dummy record that i altered. Some of the surnames dont match as the couples arent married but that hasnt been an issue.

We click on a current file under file status then right click and do quick filter, im presuming this is the correct way as nobody else has told me how to do it?

              Regards
              Beverley

i am receiving more information from the users later today

                Hi Bev,

You are right, you can click on the status field and select quick filter, but I thought this was just for desktop apps.

Yes this will work but what are you doing to update the Status?

It is clear now that you are missing records out because your status field is not equal to the quick filter value.
                Regards

Sorry im not sure what you mean that the status field is not equal to the quick filter.

Today i viewed it in table view and all the skipped ones that i informed about were there. But the staff use the form view to update the chat comments each time they ring people, thats the only bit that changes, once you click on the next one it saves automatically, however alot of the records that appear in form view werent there as i clicked on next and checked against the form view?

                  regards
                  Bev

This should limit the records on the form to those whose status is the same as the one being viewed. IOW if you click on the file_status field and quick filter, if the field holds "current" then you should be able to navigate through all records with "current" in that field and no others until the Show All command is chosen.

You can do the same in the default browse for the table and immediately see which records are available.
                    There can be only one.
