Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Report calc total field not providing correct value

Please see attached DB. Please see Billing_Records-PtInfo.Set, Client Bill report based on this set, and Code xSelectClient.

The code allows the user to select specific clients and/or dates, then places the records that qualify into the Billing_Records table. If you leave the date fields blank and choose, for example, client "Steven N Test" all records for this client are chosen and a client bill is generated (by Pcode). You can see by the test fields in the report, that the total Charge and total Payment (based on the Records table which is part of the set) do not correctly reflect the data.

Why do these calculated fields produce the wrong result?

    tot_records_Charge_for_Pcode = total(records->Charge,grp->Pcode,grp->detail)

    tot_records_Payment_for_Pcode = total(records->Payment,grp->Pcode,grp->detail)

I hope that this short description is enough info. Any help, greatly appreciated.

    Steven,

What's a "Pcode"? If this is an identifier for the patient, then I suggest you simplify your report design by eliminating all group breaks except for PCode.

The report needs to be grouped by patient (last, first, intial) AND by the provider (pcode) who provided services. The records are linked by RECID which is a unique identifier for each patient. The problem still remains with the calc total based upon the RECORDS table.

        Hi Steven,

Pesonally I would design the report with the summary values in a footer area.

I'm sure you know that if you drag a field into a footer area and get the choice to save as a total, once saved, it can then be used in another band.

          Steven,

Given your initial set structure if I wanted to see the charges and payments summed for a specific provider and a specific patient, I'd use different group breaks. I'd break first on the provider code (pcode), and then on the patient identifier (recid). Example attached, see TomsRpt. If this isn't your goal, please give us a narrative description of what it is you want the report to show.

            Steven, here's a better example.

TomsRpt sums patients for each provider.

TomsRpt2 sums providers for each patient.

                Right, Keith.

Let's hope Steven gets back to the message board to let us know how things turn out.

                  Tom and Keith,

Thanks so much for your help and insight. Can either of you explain to me why changing the report breaks effects the outcome in this way. Specifically, I don't grasp how first sorting by provider and then by patient versus the other way around results in the correct totals given that the report breaks, I assume, act like a filter?

Also, how do you create those screen thumb nails and then place them into the message. I know I can hit PrtScr and then paste that into a file, but that's not a thumbnail.

Thanks again. (It was a long day and I didn't have time to look at this earlier. Sorry I didn't let you know this morning that it wouldn't be until tonight that I'd be able to review your responses.)

                    Hi Steven,
I know I can hit PrtScr and then paste that into a file, but that's not a thumbnail.
What I do is cut the area of importance, paste into a new file and save as PNG. Just upload it the same as the zip file you did before.
I assume, act like a filter?
I would say, rather like an internal sort than a filter.

Steven, in my mind the logic is quite straight forward, the patient could be one of many to the Provider and it is the patient info that you are interested in, which goes in the detail section. Therefore the Provider goes on the outside of the group. Hope that makes sense!!!

Steven, here's my take on what you were seeing. In your original report you grouped by lastname, then you grouped by firstname, then you grouped by middle, and finally by provider. This might make sense if providers were linked to patients through the patient middle name, but they're not. Your set linked provider to patient through the RecId field. I wasn't surprised to see that Alpha had trouble matching providers to patients. Your set tells it to use RecId, but your report said to use the middle name.

                          Tom,

Thanks for your reply. That makes sense, though I believe I experimented with a report using RecID and then Provider (Pcode) which produced the same wrong result. I'll check this out later today. The only arrangement that seems to produce the correct totals is making the first report break Pcode and the second either RecID or Last/First/Initial.
