Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Export to QuickBooks IIF

    Has any one done this?

Just starting to look into this as I need to have one of my apps export basic invoice and customer data to an IIF file so it can be imported into Quickbooks.

I am thinking of pulling the data into a temp table or two, one for transactions and one for the customer list. Then use some modified operation code to build and write the file in the crazy format that QB needs.

Just curious if any has done this and has any pointers.

That is not an insignificant request.

Do you have specific questions, or are you looking for mentoring?

Not mentoring at this point per say. Just throwing this out there for discussion as I work through it.

I am not looking to create a full automatic integration. Just to create a .iif file from filtered records.

Ok, from the web the "list" export to .iif for customer info would look like this.

The Transaction export to .iif for the invoice info would look like this.

The fields would be TAB delimited and the end of the each record (row) would be crlf.

Still tring to figure out what SPL is for.

Because I would have to pass on the license cost to each of my customers if they use Quickbooks or not. At a cost of $149 to $199 per license, that is not feasible.

And at that price they might as well just use Zed Axes or similar.

The SPL is the split portion of the check. Having tangled with IIF files in the past, it is worth the price to use a program that can write to the SDK directly and check your data first with what is in QB. With Transaction Importer Pro and their related programs there is a ton of stuff you can do that makes this process much easier.

And unless your customers are diligent in their QB housekeeping, they may have lots of duplicates in their lists to merge by using IIF files...how will you help them from creating errors from mismatched names and such?

              IMHO

                Robin,

I agree using something like Transaction Importer Pro or Zed Axes would be the easiest but people are hard headed and I loose a lot of sales because my app cannot do a simple export to a file that QB can import directly.

As you probably know, the way we price in the garment decorating industry is not directly compatible with any accounting software. The only thing that can be done is just use the invoice total and call the line item or product "Screen Printed Shirts" or something like that.

If I get this working then my app will mark the data as "exported" and will never include it in a export file again unless the user overrides the exported flag and then they will get a big warning telling them they could end up with duplicates.

                  I did with
                  1) See <broken link>
                  2) and Search the word, " out_fil = file.create( ) " Stan wrote it

                  3) I built an Export List View form before create the CSV files.

The !Trns is referenced for parent and !Spl is the Child table records.

I will give that a good read.

Looks like that IIF script will export one Invoice with its line items and must be using auto numbering in QB because I don't see a ref number. A summary invoice would not need that much data I wouldn't think.

I see on the page it says "Written by Nick Marodis" so I am not sure where John got that Stan wrote it.

Yes it is over kill for what I need but still good info and mine will end up exporting a number of invoices at once.

I did see he was using comma delimited instead of the tab delimited which is what I understood Quickbooks required in the iif file.

                          Refer this: http://www.alphasoftware.com/alphafo...hlight=out_fil
It is not exactly IIF file what you may be looking for.

The IIF code is not difficult to create after I read and practiced with the references.

                            Preston,
Your users will have to keep their QB lists in sync with your data which means you will need a routine to update your tables with QB changes and/or vice versa. This takes a user who is also skilled in QB which not many are - especially when it comes to the chart of accounts and item lists. Messing up the item list with duplicates may not be too bad, but the chart of accounts is another story! If you want to use IIF files then you will also need Excel files to get the data out of QB and into your tables which you will need to add to your program. QB is all about their lists which must match exactly!

That is their problem to keep their QB cleaned up.

Chart of accounts is not an issue. When they configure the iif export setting they will need to set what account/s they want to use. If they set this wrong, too bad.

I am just going to create a method to export invoice and customer info from my app to an iif file for them to import into QB. It will be up to then to check and make sure they have all the accounts correct. Same as if they used an excel file and Transaction Importer Pro or Zed Axes.
