Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Numbers in Class

    Hi All,

Scenario: I run a school, I have 10 class rooms for different Subjects. I can only take 20 students into each Subject.

Question: How do I notify the user if they try to book in the 21st student that the Subject is now closed to new admissions?

    All suggestions welcome.

    Re: Numbers in Class

You could have a student count field for each class and when you try to book a student for the class check the field to see if it is 20. If it is then display message saying class full etc. If not book student in and increase the student count field by one.

      Re: Numbers in Class

      Hi Keith,

Either keep a count of students in the class, ala the same as the number of parts in an inventory, posting to it as a student adds or deletes a course, or alternatively, keep an index with the class number and to a table count on the fly and make sure the number does not exceeds the class maximum.

One issue is holding the class during entry when you have multiple entries happening at different stations. You need to tenatively grab the spot at entry time, so that someone else doesn't grab it, and return it to the pool if not saved.

Also, you need to override the maximum sometimes, as you may be moving students around in a way that allows the desired class selection before dropping something else. If it doesn't work out, the other class has not been lost. After the new class is added, the other class can be dropped.

        Hi Ira,

        Thanks for your reply.

I was hoping there was some sort of table rule I could use rather than having a separate "Inventory" type table to keep count of the number of students in a class.

This is a very valid question.

How would you suggest I tackle that issue?

          Re: Numbers in Class

          Keith,

I don't think another table was implied....you could use dbcount() or even tablecount() many times will work using say your student name field or any field really that has to be filled in to become a record. This could be done on the fly as an error trap to prevent more than a certain number of students. As stated also to make it possible to "move" students around by dropping them from one and adding to another (sort of an over flow situation) a logical field is the first thing that comes to mind....having the error trap that prevents additional students after a certain number has been reached be enacted whenever say the logical field is .F. . Then have a script from wherever (say an "Overflow" button) that when pressed changes the logical field to .T. preventing the error trap script from running.

Your second question's solution could simply be to save your record and then if not used, delete it which would bring the record count down to where another could be added...there are more advanced ways to do this but sometimes the simplest and easiest is what I try first to see if it will do as I want.

Just a few thoughts expanding on what was given.
          Mike

            Keith,

After running my event management software for a while, I've dealt with a lot of issues. In this case, I suggest that, if the dbcount() shows the class is full, that you divert them to a wait list instead of simply denying any entry.

You'll probably have some students drop out because they've overbooked. if so, that has a cascading effect.

If you have a wait list then you can capture the date and time they tried to register and you can go first come first served. Otherwise you'll have some angry parents!
