Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Data from Parent record/field to Child record/field

My DB consists of two tables - a Parent table named CW_Clients & a Child table named CW_Line_Items. These are linked as a 1:M set via a ClientNumber field and index on the common field in both tables.

The parent table has a numeric field called Billing Rate, and the child table has a numeric field called Cost_Per_Hour. Both the parent record, & the corresponding child (embedded browse) records, are viewed through the one form, and data is entered through this same form. An invoice is then formed and printed from that child line-item record data, along with its relevant parent record data.

When wanting to enter data into the child line-items record/fields, I simply want the child Cost-Per-Hour field, to take the data from the corresponding parent predetermined or preset Billing-Rate field (and which is already open, saved and viewable on the form as the current record), and make it available as the default value to the Cost-Per-Hour field. That is, if the Billing-Rate rate in the parent record is say $120.00, I want that $120.00 to be set and offered as the default in the child Cost-Per-Hour field/record.

However when going to Field Rules for the Child table and Cost-Per-Hour field, and then trying to set a simple data entry default expression for the field, the F2 Select Field option in the expression builder only allows me to select fields from the child table, and not the parent table. No doubt there is a good A5 reason for this, but thats beyond my knowledge and ability.

Ive tried the lookup system in the field rules, but that is not really satisfactory; nor is many other ideas Ive tried. Im sure this should not be too hard for you very clever A5 gurus out there, and would seem to be a reasonably simple requirement of A5, but A5 does not seem to want to easily allow it, and its beyond me at the moment. I would greatly appreciate any and all help on this.

    Many thanks

Re: Data from Parent record/field to Child record/field

I think the solution you want is to define a "default value" field rule in the linked child table, using a LOOKUP() function to retrieve the billing rate field value from the parent. Will be happy to illustrate this for you if you will post specimen copies of your two tables, populated with a few dummy records.

Suggest you zip the tables (DBF, CDX, FPT) and attach them to a reply post to this thread. Use the Go Advanced button on the reply message editor to find the "Manage attachments" screen and upload the attachment. The sequence is: begin a reply, Go Advanced, Manage Attachments, Upload the attachment, Close the upload window, finish your reply and submit the post.

Re: Data from Parent record/field to Child record/field

      Hi Tom,

Thanks for your reply - and welcome. However before I saw your message (I'm in Australia, so upside down time to you), I was experimenting again today, and solved it.

Instead of trying to set the data default in the child table filed rules, and thus not having access to the parent table/fields, I went to the field rules via the set. That suddenly made all the child and parent tables fields available for selection via the F2 key in the expression builder. Thus simply selecting the parent's "Billingrate" field, the amount from the current record becomes the default amount in the child's "Cost_per_hour" field. Works a treat.

But many thanks again for your readiness and willingness to help, it is much appreciated.

      best regards
