Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Structure issue?

Hi experts... I hope someone can shed some light on this - I can't get my head round it:

I have a client table with a one to many link to an agreements file, as each client has multiple agreements. They are linked as a set client-agreements. I have a form based on this set, which on tab 1 displays the client data, and allows new clients to be added. A second tab displays a sub-form, based on the agreements table, which displays the agreements for that client, and allows new ones to be added.

This all appears to work correctly. I can setup a new client, go to the agreements tab, and add agreements for that client. It all looks OK, the agreements seem to be linked to the correct clients. However, I setup a mapped table, so that I could mail merge data from both tables to Word. When I view the mapped table, I see that data that I originally imported into Alpha 5 from Excel shows all the fields from both tables, but new records added as described above show the data from the agreements table, but not from the client table. The linking field is client_id which is in both tables.

I can't decide if I am trying to do something that is structurally wrong, or maybe I have just done something stupid.

    Any ideas please?

    Gerry

    Re: Structure issue?

I had a look here for info on Mapped Tables - I always forget how they work - and found that they are only a 1 to 1 link... not 1 to many. Could that be part of the problem?

Thanks for the idea.... I will have a look, although I don't think so. It works great for records that were imported from Excel, and brings up all the records from the one - many link correctly.

        Hi Gerry,

Have you tried making the mapped table with the child table as the master table?

          Re: Structure issue?

I checked again and then created a mapped table from two tables that exist in my database in a 1 to many relationship.

The mapped table is only 1 to 1. When setting up a mapped table you have have to choose a 1 to 1 option: 1 to first, 1 to last, 1 to closest. There is no one to many option... unless I'm missing it. I can't see how you're getting all your child records.

In order for you to export to word, you'd need to set up a temp table and then fill this table by writing a parent record once per child record along with the child information you want. Then use that temp table for a mapped table.

Many thanks to Hubert and David. I did have it setup with the agreements table as the parent and the clients as the child to get round the one-many link. I had a look at the tables as I was adding records.... the client table looked OK as did the agreements table, which was showing the client_id (the linking field) correctly. However, the client_id field in the mapped table was empty for new clients that were added, although it was there for the imported records. I tried adding new agreements for existing clients, and that worked but again only for imported clients. Finally, I tried updating the indexes, and now everything is working OK. All the records in the mapped table are fully populated. I'm not sure why the indexes went wrong, but I have learnt a valuable lesson for the future. Many thanks again for your help
