Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Newbie: Summarizing info in reports from one table

Ive got one table in which each record is an appointment for a child who visits a child care center. Any child can have many appointments. Each record has a field for zip code and ethnicity. Im trying to build a report that shows a count of how many kids were from each zip code, and a count of how many kids were of each ethnicity. In my current report Ive grouped by each child and the detail section shows the appointment info.

If I add another grouping, like zip code, I can get a count in the group header for the number of children from each zip code. But, then I cant figure out a way to get the ethnicity count in the same report.

Furthermore, Im trying to find a way to present the zip code and ethnicity info in 2 different tables at the front end of the report. Is there a way to do this in Alpha 5? The only way I can figure out so far is to run 2 different reports.

Tablesum() and dbsum(), and their siblings, reach outside of the current layout and gather information directly from a table. You can thus present a count not countrolled by the current grouping.

    Tablecount("sometable","zip = "+quote(somezipcode)
    Tablecount("sometable","ethn = "+quote(someethn)

will work anywhere in the report.
    There can be only one.

Stan, Thank you. I've started experimenting with tablecount(). I think I'm still missing something. I'm not seeing how I will use it to count all the unique zip codes in my table. There are currently about 50 different zips, and every day we might add a new zip to the table. Is there a way to tell tablecount() what all the zip codes are?

Until you told me about tablecount(), the only way I knew how to do this was by using the Grouping feature in the report builder (e.g., group by the zip code). This shows me all the unique zip codes and I can count the number of times each zip appears, and I don't need to know all the unique zip codes ahead of time. If I remove all the fields from the Detail Section, the result is a list of each of the zip codes and the count of how many times each occurred. It's great.

However, the 1st problem is I also have ethnicity in the same table. If I want to show another list of each ethnicity and the count of how many times each occurred, I have to create a new report in which I Group by ethnicity.

The 2nd problem is that in both reports, I have to remove the Detail Section.

Can I use tablecount() to reproduce what I just described? Or is there another method? I suspect this comes up in report building all the time? If Alpha's report builder does not have a solution, do developers use other report building software? My employer just bought Crystal Reports. Is that easy to use with Alpha?

          No.

You could add some calculated fields to your base table to hold the count of the zipcode in the current record and the count of the ethnicity in the current record. These would need to be recalculated each time before the report is run.
I suspect this comes up in report building all the time?
          Not for me.
If Alpha's report builder does not have a solution, do developers use other report building software?
          Could be, I don't know.

          Again, I don't know.

I suggest you do a search for Crystal Reports in the forum since there has been various discussions about it. Not sure if they will answer your question.

Re: Newbie: Summarizing info in reports from one table

You do not need Crystal Reports to do what you want. Crystal Reports is mostly for stuff like VB or other languages. It does work with alpha tables, but is really overkill many times. Alpha has a really good report writer built in.

The functions Stan gave you will do a lot for you. You may also look into sub reports and have the extraineous infomation generated that way since you are doing a report within a report. Up to you.

Remember, you can total your information in each group.

If you have a group called zipcode with a total in that zip, you can then have a total from that group of ethnic peoples and then total that at the bottom or look into sub groups -> having a group within a group.

There are many ways to do what you want. Just learning as we all did is foremost.
