Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    create individual reports for users

    is it possible to generate individual reports based upon the values of one of the fields.

    the field is salesman and i want to be able to create a report for each individual sales person with just one click.

    i know how to create a report and filter it to a sales person but only one person at a time.

    hope this makes sense.

    Richard,

    On whatever form the salesmen use to access the reports, create a variable, character, golbal. Have the salesmen fill in the variable before printing the report.

    Edit the report(s) filter(s) to

    (whatever_the _filter_is_now_in_parentheses) .and. salesman = var->newvariablename
    There can be only one.

      Re: create individual reports for users

      Are you saying that you want to generate a report with a separate page for each salesman? But, just one report?

      It is not a problem is you use use groups and do a page break based on the groups.

      For each group (salesman), you could do all of your calculations and put totals into a group footer, then when the salesman changes, begin a new page and start all over again. As long as you have your groups set up properly, you will see details for each salesman individually, totals for each, and then, if you want, a grand total for your purposes.

        What Tom suggest is good, but the suggestion of Stan is better if you know how to define and apply variables.

          thanks for replies.

          i am ok with this and use it quite a lot.

          the report is generated by a admin staff, currently a filter is applied for each adviser in turn, the report generated, emailed to the sales person and then saved to a specific file location.

          i wanted to see if first of all, a seperate report could be generated for each sales person, filtered to their activity, all done in one action.

          thanks again

            Re: create individual reports for users

            For a table "sales" with a field "salesman"....

            You can get the list of salespersons like

            Code:
            lst = table.external_record_content_get("sales","alltrim(salesman)","salesman",".t. .and. unique_key_value()")
            ? lst
            = bill
            bob
            jim
            joe
            mike
            suzy
            tim
            Knowing that list means we can print the report for each using that method

            Code:
            lst = table.external_record_content_get("sales","alltrim(salesman)","salesman",".t. .and. unique_key_value()")
            for each foo in lst
            report.print("reportname","salesman ="+quote(foo.value), "")
            next
            There can be only one.

              stan,

              thanks for your help, i can then expand to email and save the report to a file for each saleman.

              thanks again.

                Re: create individual reports for users

                hi, i finally got round to doing this and it works well except one problem i am having.

                i need to some how filter the report for only those sales people who have commissions (records) at the time the report is generated.

                not all sales people will have records for the report each week.

                currently the script generates reports for those sales people with records correctly but also generates totally blank reports, which i assume is for each of the sales people with no records for the report.

                thanks in advance and hope this makes sense

                  Re: create individual reports for users

                  Makes sense but you really need so supply some sort of sample database or more information. It would be realtively simple to filter for salesmen with activity if we know what field recorded activity (sales) and what the table name is that contains that field.

                  My view of your screen is somewhat obscurred by the toucan and parrot.

                    hi stan,

                    ill sort a sample out but will take a little time as i only have a live db.

                    basically each record in the table has fields for Adviser (salesman) and comm_date (records the date the record was added)

                    we generate our reports between 2 dates on the comm_date field.

                    for all records that show between these two dates, i only need to generate an individual report for advisers with records.

                    hope this helps a little.

                      Re: create individual reports for users

                      we generate our reports between 2 dates on the comm_date field.
                      So you have something like this for the report filter?

                      between(comm_date,date_variable_1,date_variable_2)

                      what you need now is

                      Code:
                      between(comm_date,date_variable_1,date_variable_2) .and. Adviser = quote(adviser_name_variable)
                      There can be only one.

                        Re: create individual reports for users

                        ok, im still a little unclear.

                        using the foo code the report is generating an individual report for each adviser, so that bit is good, however, it is generating blank reports which i believe are for those advisers who have no commission records when the report is generated, there maybe another reason, i don't know.

                        my filter2 only shows the commission records i want

                        I want to try and get rid of these blank reports.

                        code being used
                        Code:
                        lst = table.external_record_content_get("tcommmngr","alltrim(adviser)","adviser",".t. .and. unique_key_value()")
                        for each foo in lst

                        filter1 = "tcommmngr->adviser = " + quote(foo.value)
                        filter2 = "Tprods->Prod_Commrec=.T..AND.Adv_Paid=.t. .and. adv_paid_date = date()"

                        current_filter = "("+filter1 +") .and. ("+filter2 +")"
                        current_order = current_order_expn()
                        query.filter = current_filter
                        query.order =  current_order

                        :Report.preview("Comm_Statement",query.filter,query.order)
                        next

                        for clarification of the filter mentioned in my previous post, a form is filtered between these two dates to get commissions received, these records are them marked to be paid to adviser, which in turn uses the above filter to generate the report for records marked for payment on a given date. Thought i best mention this as it may look confusing.

                          Re: create individual reports for users

                          Within the loop you need to check for records before the print statement.

                          Code:
                          lst = table.external_record_content_get("tcommmngr","alltrim(adviser)","adviser",".t. .and. unique_key_value()")
                          for each foo in lst

                          filter1 = "tcommmngr->adviser = " + quote(foo.value)
                          filter2 = "Tprods->Prod_Commrec=.T..AND.Adv_Paid=.t. .and. adv_paid_date = date()"

                          current_filter = "("+filter1 +") .and. ("+filter2 +")"
                          current_order = current_order_expn()
                          query.filter = current_filter
                          query.order =  current_order
