Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Help not printing off in expected order

I have a database each record has a unique booking reference, these are entered on a daily basis. The bookings are for an event, each event has a unique 5 digit numeric code.

For the booking confirmation to be printed off I have designed a query form which contains a variable, the variable is asking for the first booking reference in the sequence and the order expression is the event number. When I run the query the browse table pops up and the records are in the order I expect (i.e the event number).

When I print the booking confirmation report it prints in booking reference order, NOT the event number order, I have tried changing the select records window in the report every different way I can think of and it doesn't change the outcome of the printing order.

This is the first time I have used a variable could this be having some influence on why the report isn't printing in the correct order. I can't work it out, I have a set of labels set up in the same way and they are printing out in the correct order, I just don't understand it.

    Hi Judith,

Did you want to see all bookings for each event in Event order and in a date range of each event?

In designing your report, go to "report" then "Properties", then "band", then "Detail properties". Select the "Records" tab, and set your filter to select only records that match your event and date variables, then set your order to be in booking number order. That should get it the way you want.

          Hi Judith,

In addition to Tom's suggestion add a Group for Event.

Let us know how you get on.

Sorry for this I feel like a numbskull.

I have a query subform were the query is a variable booking_ref>=
The user will enter the first booking reference in a sequence, the order expression for the query is cdate(course_date)+str(course_no,5).

I have gone back to my report design and gone to the records tab in the report properties, do I now have to create other variable for the event (course_no) and course date. I wanted all records printing off in course_no order the only variable is that they are >= to the booking reference that is entered.

I am not doing very well at this design stuff at all. Think I should stick to the day job.

Judith, I hope you're not trying to print the form, though its beginning to sound like it. You really should be using a report. The advice you've been receiving is oriented to report layouts, not form layouts.

Sorry Tom, see my edit - I meant to say report - I have been at this for hours on end and getting a bit frustrated to say the least

The quickest way to a solution is to post a working copy of the database here with instructions for us to follow to see the problem, with a clear description of what the "solution" should look like.

Re: Help not printing off in expected order

I have zipped the database - it is a first attempt so don't judge me too harshly:)

There is a hotspot on the lower right hand side of the opening menu screen which will open the control panel.

If you open the form - invoice main menu, that is were my troubles start. Enter a booking reference say 50246 and press the run query button in the query sub form. A browse table will pop up with the records in the correct course number order. BUT when I go to print the invoices using the print invoices button the correct selection print off BUT in booking reference order - not course_no order.

Hope I have given enough information.

                      Judith,
You were almost there. Add 1 more group break above the invref2 group, only break this group on course_no. Ther need to be no group header or footer for this group. It is there just for ordering the report how you want it ordered.
