Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Sum values in a query.

I query a table and I want the sum of field in all records that the query results produce.

Lets say my query results are this for a table.

    Asset# Cost
    1 5.00
    1 6.00
    1 3.00

how do I total the cost with the Asset# 1 and not all other Asset# also.

RE: Sum values in a query.

    Jamin,

I think this is close to what you need. I have a browse on a form where I use the quick filter to find and group items. Everytime I pick an item to filter, the corrresponding total appears. I created it with the genie and placed the calculated field on a form next to the browse.

    TOTAL(ACCTITEMS->AMOUNT, GRP->ACCOUNTS, GRP->ACCTITEMS)

Perhaps this will be of some help to you. If this is what may work for you and you need further details, send me an email.

Take a look at the tablesum and dbsum functions. Without knowing more it is hard to know which one would suit you best.

RE: Sum values in a query.

I tried dbsum and it said that it is not supported for this type of index. I'm thinking this means it cannot be used for a query. I'm not sure how to use tablesum in this case.

All I asking is for one table not even in a set, that is queried and then I total a field for all records in the query.

        Thanks Jamin

RE: Sum values in a query.

Define a calculated field for your form, expression is

          total(cost).

When you query, it will calculate the current sum of the cost field on whatever basis you have queried. If you query on asset#1 it will sum the cost for asset#1.
          There can be only one.

I see now where my example was bad. What if I had a date field and wanted only to total them within a range of dates. Doing what you say to do totals the all records with Asset# 1. I need only Asset#1 within a certain date range.

            Thanks

RE: Sum values in a query.

              Jamin,

              Here's part of your answer.
1.Create a form with an embedded browse.
              2. Created a calc field on the form with the genie using Cost as the field for the expression. (Or whatever teh field is that has the $ amounts)
              3. Select advanced and choose the name of your table, do NOT choose Grand.
              4. Create another calc field and choose the first calc field as the field for the expression. This time it's OK leave grand in the advanced part.

Now, in form view, You can use the quick filter (Icon on tool bar)to select the item to filter and the total of all items matching the filter will appear. I think that's what you want other than the begin and end dates.

When you get this paart done, then we can go from there.

                Jamin,

                Here's part 2 - the dates.

If you put some fields on the form, including the date field, then you can simply use Find by Form. Click the FBF icon and in the date field, enter the begin date followed by .. (2 periods) and then the end date.

Example: 1/1/99..1/1/00 Click the lightening bolt.

This will filter the browse for your date range. Then continue with the quick filter as described above.

You can also use calculated fieldds to display the number of records found in the filters. Follow the same procedure as above except this time use Count instead of Total.
