Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Envelope, invoice, envelope, invoice

Anyone had any experience at printing invoices and envelopes in pairs, one on top of the other? I managed to do it with some strange code. The biggest obstacle I found was losing the current table's order so that I could traverse through the list of names, etc. to print the report for the single invoice and single envelope for each name in the list.

Just curious then, has anyone ran into this before and if so, how did you solve it?

Continuous tractor feed or inkjet hand feed?

I print hundreds of letters and associated envelopes each week. I've found it most efficient -- and I've been doing this for 15 years now -- to just print all the envelopes in one batch and all the letters in another. That way you can walk away from the printer and have lunch or kiss your sweetie.

I used to have a Primages daisy wheel printer with 3 bins, and Wordstar that would let me select the bin for each page. I did use that to print the way you want, but alas, modern technology has overcome little goodies like this.

I've got a multi-bin HP laserjet. I'm juswt trying this method. If it works, it will save the gals in accounting some time and frustration. If the print process is too slow due to the additional database sorting required, then I guess I won't stick with it. A few days of working with it will tell the story.

        RE: Envelope, invoice, envelope, invoice

This may seem silly, but why not just format the letters to fit within standard window envelopes? We do massive mailings to our clients. Monthly along the lines of 5-6 thousand letters. Printing letters and envelopes was too much work. Keeping track of te order is crazy. If you can, format the letter with the client's address information positioned for the window envelope, then just fold and stuff. If you are really tricky, pre sprt the addresses in zipcode order then save money on the mailing.

Our massive mailings are newsletters which are set up as Word templates. We place bookmarks on the document for Name, address, etc, then use the DDE functions of Alpha to poke the information into the letter, invoke Word to format and print. We also set up a restart function because the DDE tends to time out when the printer gets full. We have it running in version 1.02, but I thing that if you want, you could modify the code to run in version 4.

If you want the code, e-mail me and I will be glad to send it.

Why not print the invoices as you do, but use "window" envelopes??...no need to print an envelope then.

You know, Tom H has the idea. Use A5 and just create your
invoice so that the information necessary shows in the envelope. One way to do this, is to just copy the format of
a Quickbooks or Peachtree invoice--match them and you have
an A5 invoice--without any need to port to Word (I know Tom
H does this because he needs graphics or something A5 does not provide).

There are other "Operational" ways to do this. There are numerous products out there that combine envelopes and invoice paper, even envelopes, certified mail return receipts and letter paper--all easily utilized.

            Good luck

We use Word because, as some might be able to tell, I am a lousy typist. Actually, our clerical department composes a fairly complex newsletter with information gathereed from all of our client related departments as well as any information from the state that our clients need. We are a county Government agency.

The clerical department creates a multi-column, double sided document template in both English and Spanish. Word seems to handle al of the niceties of spanish pretty well. Once the document is finished, I just place 5 bookmarks on it for name, address, etc, and then save it. Alpha creates a table of clients that need the newsletter from an imported file and voila!

We print on a networked HP LaserJet 5si doing about 15 two-sided pages per minute.

It seems to work very well. I rewrote the script this morning to force the documents to print in zipcode sequence. We are looking to save the taxpayers some money.

                RE: Envelope, invoice, envelope, invoice

Bah. Windowed envelopes. That's just too easy. Where is the challenge in that?

We've done it both ways. Neither is difficult to work with in terms of preparation. However, printing the envelope gives a bit more flexibility as far as logo, etc. is concerned It also greatly increases the text placement flexibility of the invoice. It takes just a few minutes a day to print the invoices and envelopes needed (100-200 daily). If the volume were much greater, I could see where pre-printed would save enough time to be warranted. Justifying the cost of pre-printed invoices and envelopes is difficult when such a fine tool as Alpha Five can handle the job efficiently.

A sheet feeder and envelope stuffer..now that would be a real time-saver, but according to the costs I have gathered, that is still out of my league.

Btw, the HP4000 series with envelope feeder seems to be about as reliable in terms of paper handling as any printer I have used. It's a good cost-to-performance balance.

Also, I meant to ask, has anyone had any luck with printing postage? I've yet to see a package that will integrate with the database effectively.

I have found the easiest way to do it is with preprinted and prestamped window envelopes. You can buy these direct from the gov printed and stamped for about the cost of the stamp. call them at 800-stamp-24 The price is $180.00 per 500.

I'm going to try your suggestion, Russ. I'll be able to return the PB Postage meter, skip printing envelopes (not a great benefit, but every little bit helps) and save the gals some time and frustration by not worrying if invoice and envelope match.

                      Thanks again!
