Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Automating use of MS Word

I want to be able to create a letter in word, not a mail merge, but to a single person. I want to be able therefore to automate the process of choosing a record from my Alpha 5 database of contacts, and then to automatically launch WORD and use a predefined word template to include the salutation, name, address etc.

Also, if possible, before launching word, but after choosing the record, to have a form to fill in with eg 'Subject','your reference' etc as fields to go into the word document.

I've read the various articles by Cal on integrating Word and Alpha, and although very comprehensive, seem to be more for mail merges than for single 'every day' correspondence.

    Any suggestions??

    Thanks in anticipation

RE: Automating use of MS Word

    Jeremy,

For a single record you might consider the clipboard.

In my address book, I have a button on the contact form which creates a properly formatted address on the clipboard. That is, it combines the fields with the appropriate carriage returns and suppresses blank fields.

I just open the word processor and manually paste in the address but you could pretty easily use sys_shell() to launch word and run a word macro to open a new document and dump the contents of the clipboard.

Perhaps someone has a more elegant approach to suggest.

I hate to bust your bubble, but throw the notion that Word is you default letter generator! ALPHA is! Learn to use the RTF memo fields and create a letter that will print the current record where the name address and salutation are obvious and the body of the letter is the rtf memo field. Not only will you have a record of your last letter but you can type up a few letters within 5 minutes this way. There is an article on LearnAlpha.com called Letters, letters letters I believe that can give you a sampling of what is possible.

Once you Learn all the tricks to letters in Alpha, that goes for reports as well, you will be using Word less and less. Jack

RE: Automating use of MS Word

We used an x-basic script to "dde poke" name, address, etc out to a Word Template. Then we performed a sys_shell to invoke word to print the letters. We send out over 5000 newsletters monthly in this manner. To insue that word finishes before we continue te cript, we have inserted an "idle loop" to kill some time before generating the next letter.

The script is in a5 ver1.02 x-basic, but it should be fairly simple to convert to ver4.

There is an awful lot of stuff here, but it really works well. There may be quite a bit of extraneous stuff here, but I dare not remove anything.

the best solution to your problem is going to be OLE Automation, which we expect will be in A5V5 which will ship later this year.

Thanks Selwyn, you always seem to be one step ahead in making A5 the best database solution.
