Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Letters in duplicated tables don't work

I have duplicated tables including layouts, etc. but invariably find that the new letters still look for the original table address - Error Message "Error occurred in parsing break expression in group Addressee no such table"
where the table referred to is the original one that was duplicated, not the new one with the new name. Checking the new letter properties, however, under the Letter_Propereties_Letters tab confirms the Addressee Table as the new table name.

In the past I have copied the layout and pasted it on to a new letter but this time I need to do 18 duplicates of 2 tables holding 112 letters making 2116 new letters in total. Help!!!!!

RE: Letters in duplicated tables don't work

Richard, I have little experience with letters in Alpha Five, so pardon me if this is stupid. What would change if you dropped the group expression from your letter layout, and arranged the records to the desired sequence yourself (manually or via scripting) before printing the letters?

Tom, Thanks for your thoughts. Can you tell me where to find the group expression in the letter please?

RE: Letters in duplicated tables don't work

        Richard,

There are no group breaks. My inexperience with letters caused me to misinterpret the error message you reported. Sorry.

I've now experimented with letters using Version 4.5.
I've verified the problem you're seeing, and have
found a consistent way to overcome it. Seems as
though the duplication process is not updating all
the references to the new table name that are found
inside the layout specifications for the letter, after the duplication occurs.

Here's how to force the new table name to be recognized.

Duplicate the table, including table, indexes, and dictionaries.

Open Letter layout in Design mode by right clicking on it in the Alpha Five control panel.

Click Letter on top menu bar.
        Select Properties.
The region properties dialog box should now be showing.
        Select the Letter tab.
Click in the text box showing the table name.
Re-select the desired table off the drop down list.
(This should match the new table name, by the way.)
        Click OK.
        Click Save.
        Close the layout.
        Preview the letter.

This seems to refresh or update the new tablename inside
        the letter layout.

If you think this shouldn't have to be done each time,
I wouldn't argue the point. Seems an oversight or glitch
to me. However, maybe this will save you some time, since
        it's relatively easy to do.

By the way, I'm curious. Why in the world would you want to duplicate a table and all it's supporting forms, reports, and letters, so many times?

RE: Letters in duplicated tables don't work

Tom, thanks again. I've discovered something similar. If you go to letter properties and insert the prime index field in to the order expression on the records tab that works too.

In reply to you enquiry, I am developing a system for 18 different offices to use on the web, probably using BeeWeeb for the connectivity, effectively giving a private LAN. Each office will use the same admin system, but the control centre will need access to all of them. Hence the need for 18 systems all the same but with different file names.

            Richard,

I'm not familiar with BeeWeeb, but I'd be very surprised if there might not be easier ways to achieve what you're shooting for. The very thought of having to maintain 19 different but identical databases forever is enough to curl what little remains of the hair on my head.

For example each database might contain a table that has only one record in it, identifying that 'office', and distinguishing it from all the other 'offices'. This table could be checked by each script, and by each report or form layout, so that the identity of the source of the data included in a report or shown on a form could always be known. Conceptually this would permit you to distribute a single database to all 18 remote offices, and still be able to distinguish the data at any one location from the data elsewhere in the system.
