Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Report Problems, New user

When printing a report how do I get it not to leave space for fields that have no data in them? It's making for some very long reports with big gaps between lines. I also have a memo field that more times than not is empty and it seems to be leaving space for it too.
Any help would be greatly appreciated
    Thanks in advance.

Edit the properties for your fields and check (mark) the "allow shrink" box.
    There can be only one.

In the report editor, right-click on the grey heading for the details section, the one that says "Detail" in the middle of the band rather than at the left of the band.

From the pop-up menu select "Properties"

From the Region Properties box, click the "Region" tab.

Check the box that says "Shrink contents of band" and then the "OK" button.

      See what happens.

Let's assume you have three fields in a row, and you don't want the row to show if one of them is blank or zero. Create calculated fields for each field, where the calc would be (FIELD_NAME is the name of each field, and FIELD_1 is the field that could be blank):

        IF(FIELD_1="","",FIELD_NAME)

Put these fields in your report, rather than the fields from the table. Now, right click on each field, select Properties, and in Set-up, click on Allow Shrink. If the field evaluates to blank, it will shrink to no space.

It would probably be a good idea to start with one field, so you can test it to make sure you're getting what you want.

As far as memo fields are concerned, you can do the same thing, but also make sure Allow Growth is checked, too. Then, place the field on the form taking up only one row. For blank memo fields, it should shrink. For memo fields that take up more than one row, it should expand as necessary.

I've already done that and it doesn't work. Any more suggestions? I still have large gaps between each line of my report. Do you think it could be something else?
          Thanks

Certainly. Check to see that there are no objects in the detail region (I assume that's where the large gaps are appearing) that are taller than they need to be. Resize them if necessary. Make sure they are aligned to the top of the detail area rather than there being a gap between the top of the fields and/or labels and the top of the detail area.

You can also use a conditional object set to "allow shrink" w. the expression isblank("fieldname") and put no objects on that condition. (But put your fields on the default condition).

I may be a little slow, but can I ask about getting rid of the no data fields?

I been with alpha since before most and one thing I learned was to clean up evry so often

Can't do that. In more occasions than not they are needed. Every report is not the same tho' and sometimes they are empty.
                  Thanks

                    RE: Report Problems, New user

                    Linda,

I think Peter Greulich has steered you in the right direction. I say this because you will have to tinker to get things to look the way you like.

I have a large report with fields which are often empty. More precisely, in a typical record not all are full. Without shrinking the empty lines I would get at most two records per page and there are hundreds of records. The way around this was to group the contingent fields on different levels of a conditional object ( I think I needed eight levels!) so that for any combination of blanks I display only the filled fields.

                    Set each field to allow shrink;
                    Set the object to allow shrink;
Place the top field of a level just inside the top edge of the conditional object.

It was quite a bit of work but I have saved many forests.

As for your memo field, make it small and allow it to expand at print time. I can't remember if a memo field can be placed on a conditional object but you probably don't need to do that anyway.
