Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Help needed with Total Calc Problem

    Set:
    R_Head
    '
    '
    '===>R_Item (One to Many)
    ' '
    ' '---->Product(One to One)
    '
    '=====>Batch (One to Many)

    In R_Item there is a calc in field rules i.e QtxRate = Line_Total (Line_Total is a field in R_Item). I then want to find the total of Line_Total over R_Head. The calc I use is:
    Total(R_Item->Line_Total,GRP->R_Head)

    This give an "invalid or incomplete expression" result.

    However, if I place this calc field on the Form and save, then go into Form View the calc field displays the calc description until I add a new item for the first time then the field goes to 0.00 and works fine as a calc field from thereon.

    Thanks,

    Alan

    Try DBSUM()

    I find it more reliable.

      Robert,

      Thank for your input. I tried the DBSUM() fuction but I cannot get it to work, I am sure that it's because I do not fully understand the syntax of the function! Any help would be appreciated

        RE: Help needed with Total Calc Problem

        Robert,

        Interesting, after placing my Total calc field on the Form save and then go into Form View then enter data for the first time and save. Go back to Form design, go into the calac expression builder and the "Invalid or incomplete expression warning" has disappeared and been replaced with the calc result figure.

          What are the linking fields between R_head and R_item

            If you have problems with the DBSUM syntax, I would be glad to help.

            Assuming you have "R_head" linked to "R_items" by a field called "Invoice_No"

            The syntax would be:
            DBSUM("R_item.dbf","Index",Invoice_No,"Line_total")

            In place of index put the name of the index in the lookup table (R_item table) that is indexing the field "Invoice_No"

            Let me know if this works for you

              Robert,

              Back in the office. Thanks for your help. I tried the syntax you suggested but still did not work. Below is the structure:

              Database Link Field Index Order Exp
              R_Head R_Number R_No R_Number
              R_Number R_Number (Unique only)

              R_Item R_Number R_Num R_Number

              Total required: R_Item->Line_Total for each R_Number.

                  RE: Help needed with Total Calc Problem

                  Alan

                  Lets see if I can figure out a way of explaining it in a simpler way.

                  Lets say you have the following tables, with the following fields:

                  R_head, Table
                  Invoice_no C 6
                  Customer_Id C 6
                  Order_date D 8
                  Order_total N 10 2

                  R_item, Table
                  Invoice_no C 6
                  Line_total N 10 2

                  Now, lets say that the fields that these two tables have in common are the "Invoice_no" fields.
                  You create an index in the "R_item" table, that indexes the "Invoice_no" field, lets say we name the index "Invoices". This index cannot be set to unique.

                  Now lets say that you want the "Order_total" field to hold the sum of the "Line_total" field. This is what you do.

                  1) You go to the "R_head" field rules.
                  2) You set the "Order_total" field to calculated.
                  3) Know you enter the following expression:
                  DBSUM("R_item.dbf","Invoices",Invoice_no,"Line_total")

                  Now if you go to the form, and try look at the value, it will no show up, because calculated fields only calculate on save or change, therefore any records you have already entered will not reflect this calculation, unless you change something in that record.

                  However, if you use the same expression in a form's calculated field, it will show on the form. That is because the form calculated field is really a variable that updated as needed, however you can only use it in that form and if you want the same somewhere else you have to recreate the calculated field.

                  So if you place it in a form, it will work immediately, but if you place it in the field rules, you will have to reevaluate the field rules to bring it up to date.

                  Now in the expression sample I gave you above, all you have to do is, replace the index name and the field names with the ones you are using.

                  If you have other problems, let me know.

                  I hope this will help you

                    Thanks for you help, will give it go on my db. Please check out my message on thread 20522 in which I attached a zip file of a screen shot of calculations on one of my Forms before first input.

                    Will get back to you.

                      Robert,

                      Many thanks, finally got it all to work. I created a new db and followed your steps, worked perfectly. Went to my development db could not get it to work until I rebuilt the index, then OK.

                      Best regards
