    Default How to print comments field in a report?

    Hello,

    I would like to know how to correctly print the comments field (previously known as memo field) in a report. The report is extremely simple. In essence, first name, last name, and comments field of discussion with person. The comments field in preview and when printed types only about three words horizontally and then goes to next line. I would like the words to extend to the end of the right side of the paper and then go to the next line. I have used a form like this since 1992 but am trying to upgrade from AlphaFour V.1.1b to AlphaFive V.11.

    Have you dragged the right edge of the memo field to the widen it to the width of the printable area? Alternatively you can right click on the memo field, choose Properties, Dimensions tab, and set the desired width.

    Stan,

    Thank you very much for your advice. I think that it worked. However, the paper prints in landscape mode. How do I set it to print from top to bottom. Also, how do I print the record number on each report? (I have about 3600 separate records). Once these last two items are fixed I hope I can move 21 years of records.

    With the report in design mode, use the Report menu, choose Properties, Band, Report properties. Choose the Page tab, in the Page Layout section set Portrait. You will be warned if there are objects on the report that won't fit in Portrait mode. You may have to move some objects around.

    For the record number, use the Report menu again, Calculated fields, enter

    rec_no = recno()

    then drag-drop that calculated field onto the report and place as desired. Right click on the new object, right click, choose Properties, Format tab, in the Display properties set the width to a number more than the record number will use. For 10,000 records say set the width to 6.

    Stan,

    Thank you again for your advice. I was able to fix the landscape problem and will try to work on record number when I have additional time. It is unfortunate that AlphaFive does not automatically list the record number while AlphaFour did.

    Unfortunate if you happened to use the record number. In the past 16-18 years I've used Alpha I have never had an occasion to.

    Stan or anyone else who can help,

    I added the formula that you suggested to print out the record number in the report. Unfortunately, the report still does not list the record number. I went to report and typed in rec_no = recno(). The drag-drop to place into the last field was not too easy but I think it was properly placed. This is nearly the last part of the puzzle to the report.

    The logical place to me to have the rec_no calculated field is in the detail section of the report. Is that where you placed it?

    I went to report and typed in rec_no = recno().
    Does this mean you used the Report menu, Calculated fields, created the calculated field, and drag-dropped that on the report?

    I tried to paste the formula into the detail fields but it automatically gets inserted between the first and second fields (in my case, first and last name). There is one practice report that I have tried that the formula was ultimately inserted as the last field on the left. Unfortunately, the formula recnum = recno() does not print the record number.

    At which point you can select it and move it anywhere you want. Once selected you can move it with the mouse or arrow keys.

    the formula recnum = recno() does not print the record number
    It may be printing the record number but hidden behind some other field. Also make sure the display format is enough places to show the record number.

    Thank you both Stan and Tom for your additional help. I will look at the suggestions and give you an update.

    I was originally concerned about moving 21 years of data from Alpha 4 Version 1.1. The data move was relatively easy. I never expected creating a form to be the very difficult task.

    Please consider updating your message board profile to show your name. It's not a requirement of course, but many of us believe using real names contributes to an atmosphere of respect and collegiality (sp?).
