The Alpha Software Forum Participation Guidelines

The Alpha Software Forum is a free forum created for Alpha Software Developer Community to ask for help, exchange ideas, and share solutions. Alpha Software strives to create an environment where all members of the community can feel safe to participate. In order to ensure the Alpha Software Forum is a place where all feel welcome, forum participants are expected to behave as follows:
  • Be professional in your conduct
  • Be kind to others
  • Be constructive when giving feedback
  • Be open to new ideas and suggestions
  • Stay on topic


Be sure all comments and threads you post are respectful. Posts that contain any of the following content will be considered a violation of your agreement as a member of the Alpha Software Forum Community and will be moderated:
  • Spam.
  • Vulgar language.
  • Quotes from private conversations without permission, including pricing and other sales related discussions.
  • Personal attacks, insults, or subtle put-downs.
  • Harassment, bullying, threatening, mocking, shaming, or deriding anyone.
  • Sexist, racist, homophobic, transphobic, ableist, or otherwise discriminatory jokes and language.
  • Sexually explicit or violent material, links, or language.
  • Pirated, hacked, or copyright-infringing material.
  • Encouraging of others to engage in the above behaviors.


If a thread or post is found to contain any of the content outlined above, a moderator may choose to take one of the following actions:
  • Remove the Post or Thread - the content is removed from the forum.
  • Place the User in Moderation - all posts and new threads must be approved by a moderator before they are posted.
  • Temporarily Ban the User - user is banned from forum for a period of time.
  • Permanently Ban the User - user is permanently banned from the forum.


Moderators may also rename posts and threads if they are too generic or do not property reflect the content.

Moderators may move threads if they have been posted in the incorrect forum.

Threads/Posts questioning specific moderator decisions or actions (such as "why was a user banned?") are not allowed and will be removed.

The owners of Alpha Software Corporation (Forum Owner) reserve the right to remove, edit, move, or close any thread for any reason; or ban any forum member without notice, reason, or explanation.

Community members are encouraged to click the "Report Post" icon in the lower left of a given post if they feel the post is in violation of the rules. This will alert the Moderators to take a look.

Alpha Software Corporation may amend the guidelines from time to time and may also vary the procedures it sets out where appropriate in a particular case. Your agreement to comply with the guidelines will be deemed agreement to any changes to it.



Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Move Data from one field to another

    Can Anyone Help!!!
    I have a database which is a stock control program, the problem I have is in the "history" part of the database.
    I have 5 years of history broken down into the months of the year. At the end of the year I need to be able to delete all the history in year 4 (12 months worth) and move all data from (current year to year1, year 1 to year 2,year 2 to year 3,and year 3 to year 4) bearing in mind that there is 12 months to move per year.

    Sure we can help. Tell us the details on how you define and store the year1, year2, year3, and year4 values. i.e. tell us in narrative form how you will find the records to be deleted, and then tell us in narrative form how you will find the year3 records so they can be 'promoted'. Spare no details, and assume we know nothing about your table structure.

    BTW, this seems like a lot of extra work to me. Why not add a field to the table to hold a character string identifying the year. Then a simple query could be used to find all records with the same identifier. You wouldn't have to shuffle the deck each year.

      Thanks for the reply,Tom. The idea is that as the stock is moved from the stores, the amount of items is automatically counted in the history file for that particular month, the idea being that the company can refer back over the history so they know how many of which are used in a particular month.
      The dilema I have is to move the data from the current year to year 1, and move year 1 to year 2 etc. Year 4 being the oldest. I have laid the Form out as a grid with headings at the top of (CURRENT,YEAR 1, YEAR 2, YEAR 3, YEAR 4) then I have headings down the side of the grid as (JANUARY

          I feel certain you know what you're talking about. Try to describe your setup in more detail to us.

          Are all your history numbers in one table? Or do you have four different tables for history?

          My company keeps a rolling 24 month history of sales/cost/units in one table. As each month is completed, for illustration purposes let's say August, I use an update operation to

          1. copy August_ty to August_ly
          2. zero August_ty
          in the above example August_ty held 2002 info and August_ly held 2001 info before the

          I then use a post operation to place August 2003 data into the fields for August_ty.
          There can be only one.

            That is a simular idea to mine but I need to hold all the information until the end of year in the correct field and update at the end of year. It is all in one table, Stan.
            If it would help, I can post a copy of the database which may help.

              The update operation genie is farily straightforward. Begin by selecting the table in question, general tab, assign a calculated value to a field.

              Suppose you have fields

              Jan_cy, Jan_ly1, Jan_ly2, Jan_ly3 for

              Current year, last year, year before last year, year before that.

              Define the first line of the update as

              Field to update - Jan_ly3 expression - Jan_ly2

              then

              Field to update - Jan_ly2 expression - Jan_ly1

              then

              Field to update - Jan_ly1 expression - Jan_cy

              then

              Field to update - Jan_cy expression - 0

              and repeat the pattern for each month's fields.

              When done the fields for the current year will all be zeroed out, each year's history will be moved back 1 year, the oldest year's history overwritten by the next to oldest.
              There can be only one.

                  Hi John,

                  I have code that will remove the previous years data into a table named Y+previous year. For instance this will copy all of 2002 data (in the year of 2003) to a table named Y2002. A selection on the main menu wlll allow viewing of any tables beginning with a Y. If this will help I'll email you a copy of the code.
