Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Re-evaluate field rules

I wish to zero the total in a calculated field on a form. I have already zeroed all the totals in the records from which the total is derived but the calculated field on the form has retained all the previous information. The calculated field name does not appear in the list of fields having right-clicked on the set name to bring up the 'edit field rules option. Please tell me how to re-evaluate this calculated field to zero in all records.
    Thanks!

    RE: Re-evaluate field rules

If you had a simple calc field, such as FIELD1+FIELD2, and you zeroed both those fields, the calc field should appear as zero when you save the record. I'm not sure why yours isn't doing this, but perhaps you should post the calculation, so we can see what's going on.

      RE: Re-evaluate field rules

You might try, in field rules, on the menu "rules/reevaluate all rules."

        RE: Re-evaluate field rules

Many thanks for the quick replies.
When I right-click on the set name and select 'edit field rules' the screen which comes up headed Field Rules does not offer any option about re-evaluation. Am I missing something.?

If it will help, the two calculations I use to build up the total giving per member in the year (for UK tax relief purposes) are as follows:

        total(Trans->Sub1999+Trans->Donat99,GRP->TRANS)
        total(Calc->Totgiving,GRP->MCMS99)

My database manages membership and subscriptions and donations. Subs and donations are entered in the Trans database, the child database, for each member and I accumulate the total of both in the tax year in the form using the two calculations shown, the second one is the one on the parent database (MCMS99)form. I have cleared out all entries in the trans database on starting a new year but the total giving for the year just complete shows in the calculated field on the form althouth the Trans database is empty.

        Any suggestions gratefully received!

          Tony,

Yes you are but don't feel bad about it. It took me a while to notice this.

Edit field rules (as you said)
          On the *menu bar*
          Rules
          re-evaluate rules

            Tony,

We may have misunderstood "I wish to zero the total in a calculated field on a form."

Is the calculated field defined for the form only, or is it defined as an actual field in the table - derived from field rule level calculations, and shown on the form?

If the latter, you should be able to use the re-evaluate field rules menu option to clear the values.

You might search the board for "total(" and "dbsum(" and "tablesum(". There has been some little discussion about the most effective places to use each. In short, total() is best suited to reports where you are able to define "groups". Dbsum() and tablesum() are better suited to forms and browses.
            There can be only one.

              RE: Re-evaluate field rules

Further to the message I have just posted - I have found the solution to my problem. I had been a bit too clever because, at the time I wanted to empty the Trans database, I could not immediately see how to do it in Alpha so used my trusty old copy of PCFile to empty the Trans .dbf file.
Whilst looking for the missing Re-evaluate command I spotted the 'empty the database' command and - guess what - my troubles were solved and the calculated field shows zero in every record.

Many thanks for your efforts to help me - I would still like to know how to access the re-evaluate command in case I need it in future.

                RE: Re-evaluate field rules

William - many thanks for your sympathetic reply on how to find the 'Rules'. My wife always says I am not very good at looking for things and, with a name like Anthony, you would think my patron saint might be a bit more obliging. However he is not but you are and I have now lifted my eyes higher up the screen and - there it was 'staring me in the face' (as my dear wife would say.
I can now get on with starting my new years entries and will sleep better tonight after all this help.
