Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Check amounts

    Good Afternoon,

I have a main table that has a field named "Amount". There is a child table associated in the same set that has a field "Amount" also, and has a one to many relationship.

What I am trying to do is check the main table "Amount", against the "Amount" fields in the child records, that match the main record, and give an error message that they do not match.

I was trying to make an index, using the TOTAL function, and check for dupes. But ALPHA5 says that I can not use TOTAL in that context. So I am not sure what to do from here. I assume TOTAL can only be used maybe with reports??

My autoincrement field, is a calculated field, that combinds three fields in the main table, and makes it unique for each record. So that the records in the child table has the same autoincrement data in them, to match the main table record.

Any ideas would be sincerely appreciated.

    Thanks Ed

    RE: Check amounts

    Ed,

Are you trying to get a total from the child records? or just match one record with one amount?

If you want a total of all child records matching the current record ID use tablesum() or dbsum()

If you want just one child record to match use one of the lookup() functions.

If I knew more I would be more specific for you.

      RE: Check amounts

      Hi Scott,

Yes, the amount in the one main table record("Amount" field), will equal one or many child records("Amount" fields).

Then an error message, would let the operator know that the main table "amount" field(amount), did not match all of the related child records(amounts)in the "Amount" fields in the child records.

Where the main table would be "10", and the child records would be "2", "3", "8". In this case ALPHA would let the operator know that the amounts did not match.

I hope I explained it clearer.

I doubt that a summary function will do what you want because of the timing of the calculation places it after the selection is done.

Therefore the solution that I suggest is that you add a field to the main table called child_total and sums the child records into that field.

Since you may run this multiple times, you'll need to have an update operation that zeros out child_total, then sums up the child records, then run the report where you compare the two fields in the main table to see if they are the same.

This type of problem has been posted many times before and the solution always gets back to this method.

You will need to be careful in a multi user system. If you are using this for a validation check, just restrict who can run it by who has access to it.

          Hello Al,

I was trying to make a calculated field as you suggest in the main table, but was not sure what function to use in this case to add up the child records correctly? Would appreciate a little help here.

I will follow your suggestions, and give it a try.

          Thanks ED

A calculated field won't do it. You'll need to have an operation of some type. Either a posting from the child to the main or or a summary of the child and then post the result to the main table.

Depending on the quantity of data, you'll have to play with it to see what is more efficient.

Remember that since this is a multi pass solution, any data entry that goes on from another user at the some time may cause an imbalance from main with child.

              Thanks,

I understand now. I am pretty sure I can do that. And thanks for letting me know of the complications.

              Have a nice night.

Thanks appreciate all your help in the past months.

I live on the coast, Los Angeles harbor area to be exact. The sky was black, and the sun looked like a dim red light bulb for a couple of days. The closest fire was probabley about 60 miles away. You would never believe it the way the sky looked.
