Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Copying forms from database to database

Is there an easy way to copy a form from one database to another?

RE: Copying forms from database to database

Forms are associated with tables or sets, not databases. To copy a form to a different table/set, right-click on the form and select "Copy To..."

RE: Copying forms from database to database

Thanks. But I created another database with two tables from an existing database and wanted to move some forms to the new database too. So I want to copy the forms across databases. Can that be done. Or can you make a copy of one database and then rename it?

You should be able to copy the forms (one at a time) to the similar tables across databases.

          Thomas,

You can do as Peter says and copy layouts across databases among similarly structured tables but you should also know that if you duplicate a table from within Alpha5 you have the option to copy the layouts as well. This would certainly be the easy way.

            Bill,
Will this work with the table for a set as well? Reports as well as forms?

Or, you can get a copy of the copy utilities I posted in the archive which allows you to copy any A5 object (forms, reports, whatever, in tables or sets) between any two databases.

                Finian,
Can you give me a little guidance how to do that?

I ajm trying to copy reports and a set from A5V1 databases into A5V7.

Go to the code archive here and download the file labeled "Copy, Move, Append Utilities" and unzip the files into their own folder. The file contains a V5 database and associated files. File/Open the database and after that it's pretty much self-explanatory.

There are a lot of warnings about backups and, in your case, they are appropriate. I don't think there should be any problem moving the forms from your A5V1 to A5V5 database since the A5V5 data dictionary is still basically the same. Having said that, I don't recall if I've ever copied from a V5 database and it would be prudent to use only a backup of your V1 source files until you are sure that there are no problems.

Make a backup copy of the ver 1 database in a separate folder. Make sure you copy the ddd, ddm, ddx, and mdx files as well as the dbf. If there is an fpt file, copy that as well. OPEN the newly copied database (now table) using ver 5 or ver 7 (whichever one you are using) The forms, reports, letters, etc should all be there, but will need to go through a "conversion" When you open each for design, Alpha will state that the layout is from a previous version and would you like to Convert it. Answer "yes", and the layout will be available for you to edit.

I cannot state emphatically enough, use a copy of your ver 1 databases. If you open a live one accidentally, you will clobber the indexes as well as the dictionary. The dictionary will just need to be rebuilt, but the indexes will need to be restored, then rebuilt.

Thank you Tom. I'll wait to try this until I finish sorting out my 10 databases (one per year) that are eventually going to be combined into one. Right now, I have two computers, garbage and good stuff on both, and need to do some serious housecleaning. After I finish that, I'll make a back up and see about converting using your instructions.

Copying forms from database to database

                        Tom,

OK, here's what I've done. In a folder, I made a copy of my 2004 V1 database; it's not the original or my backup of the original so it doesn't matter if it gets trashed.

I open V7, choose "New database" and select the folder with the above copy. Since there is no .alb file in this folder, I can't open the V1 database.

So, from V7 I create a new V7 database in that same folder. Then I hit the green + and add the V1 3 databases (now tables) and one set. The reports are associated with the set. I open them for design and get no message about converting. I open each for Preview and they work just fine.

I'm not sure how this happened, but it did and I am happy.

Now, when I create my new master database (to accommodate all years)
in v7, there will be some changes to the tables, and I will append each one year table to them. Can I then just add the set from the 2004 data and get all of the reports, even if I then change the parent & child table names in the set? All of the fields referenced in the reports will still be in the new (renamed) tables.
                        Kay

You should be OK with that. We've lost links in sets on occasions, and when we rebuilt the sets, the dictionaries were back. I am not really sure about what will happen with replacing tables in a set, but you CAN copy layouts from one database to another, providing the referenced fields are the same.

                          Good luck,

                          Tom
