Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

How do I filter a report to show only unique fields (using ID) using a set?

    Hi,

I am designing the report for a publication database. I have had excellent ideas from the the Alpha Community and implemented them. This has allowed my colleague and I to be at the stage where we are just about finished this database project. One last thing that is the reporting side of things and duplicating and just the way Alpha Five works.

On my database I have a set that has a one to many relationship. One publication can have many keywords. But when I base a report on the set, whenever I do a search and parse that through to the report, the report duplicates each record in relation to the number of keywords that the record has.

I would like to stop this so it only shows unique records and not the x number of keywords. I did a bit of research on the forums and came up with this post.

This is what I want to do, but was not quite sure how to parse the index as a filter to the report. If anyone has got any other ideas that I would very appreciative.

Many, many thanks for the support yoiu have given so far.

Great, care to share with us what tables are involved in this set and what those tables might contain. You haven't given nearly enough information for anyone to give secific help.

Attaching a sample of your database and telling us which report you want to filter will lead to a much more informed response.

Wei-yen, Stan is right. To get specific help you need to supply specific & detailed information. A sample of the database is the best, always.

Your problem may be unreleated to the query. If your report is based on a one to many set and you are getting repeating field values from the parent table you've bumped into a beginner's problem that's addressed in the user's guide (no offense intended). Check the section in the User's Guide on designing reports for one to many sets. The attached screen shot shows you where to find the help.

Thank you for the reply, as requested here is the copy of the structure of the database with some data in it. As you can see, because the data is based off a set it is listing the keywords as seperate records. I would like to ( at this stage) have one record with out any duplicates. Keywords do not need to be shown. It is the report based on a set that I need to modify . I have also included a report that is based off the archive table that Iwould like to show as what I would llike. Many thanks,

        WY

See Tom's response on designing reports for a one to many set. Move the fields out of the detail setion into the group header.

            Hi folks,

Thanks for the help! I am glad to say that what you suggests works, but now my contention is that the formatting is not displaying properly...it shows large gaps, in the report between records. I have attached a copy of the database so you can have a look. After this formatting issue, then I can pretty much say it is more or less done and I just need to add the menus and workflow, which is not that bad.

Many thanks for the help..it has been great.

Apparently it did not occur to you to remove the unused portions of the report.

Use the Report menu choice while in design mode and uncheck "Has Detail section". Right click on the bar labeled "Group Footer", choose Delete.

Thank you all folks for the help that you have given us. This was our first real project to get stuck into. I folllowed stan's advice and found out how to set the details and such to 0.

Also in the button to search we had to change the thing to show all records first (using action scripting) as a pose to just changing the mode. My colleague changed some other settingswhich I have yet to see, but the project is more or less done. The first revision anyway! Many thanks.

                  Hi,

Report using grouping level nicely overcame the repeating entries on primary table. However, at the <sort order> box in <Report> / <Select Records> tab, when I specify using Genie and put in sort order : <Category>/<Year>/<Company>, the report only sorts according to first <Registry>.

This possibly have something to do with the repeating entries in the primary table. A round about way is perhaps to Copy the selected records to another table, apply a unique filter on <Title> then base a report on this new table. Would it work?

Any suggestion on a solution would be most appreciated. Thanks.

Have you tried it? Possibly it would.

Re: How do I filter a report to show only unique fields (using ID) using a set?

                      Backgroud:
Tables- relevant fields, company, author, title, year, keywords (multiple selection using Xdialog).

Query- search on all fields including keywords. Because of multiple keyword selection, same title will appear as many times as the number of keywords if run Null query to bring up All records.

I tried with 2 scripts. One copy selected records to Selected_recs table to be run immediately after Query on Archive_set form. , then run another script to purge duplicate records. But the outcome was not consistent. Most of the time it would return total records in the Archive Table, except for a few cases, it returned the correct number of records.

Had I missed something? Perhaps the table in focus was not the right one? What command do I use to focus on a target table / set?

                      Thanks for your input.

                        Hi,

Discovered the cause of the problem for filtering not working- for some reasons I have two Search_publications and View_Publication forms in my database. I deleted the whole database and recopied from my backup, then the script worked well and the copied records are unique so there is no need to delete duplicate records at all.

                        Thanks.
