The Alpha Software Forum Participation Guidelines

The Alpha Software Forum is a free forum created for Alpha Software Developer Community to ask for help, exchange ideas, and share solutions. Alpha Software strives to create an environment where all members of the community can feel safe to participate. In order to ensure the Alpha Software Forum is a place where all feel welcome, forum participants are expected to behave as follows:
  • Be professional in your conduct
  • Be kind to others
  • Be constructive when giving feedback
  • Be open to new ideas and suggestions
  • Stay on topic


Be sure all comments and threads you post are respectful. Posts that contain any of the following content will be considered a violation of your agreement as a member of the Alpha Software Forum Community and will be moderated:
  • Spam.
  • Vulgar language.
  • Quotes from private conversations without permission, including pricing and other sales related discussions.
  • Personal attacks, insults, or subtle put-downs.
  • Harassment, bullying, threatening, mocking, shaming, or deriding anyone.
  • Sexist, racist, homophobic, transphobic, ableist, or otherwise discriminatory jokes and language.
  • Sexually explicit or violent material, links, or language.
  • Pirated, hacked, or copyright-infringing material.
  • Encouraging of others to engage in the above behaviors.


If a thread or post is found to contain any of the content outlined above, a moderator may choose to take one of the following actions:
  • Remove the Post or Thread - the content is removed from the forum.
  • Place the User in Moderation - all posts and new threads must be approved by a moderator before they are posted.
  • Temporarily Ban the User - user is banned from forum for a period of time.
  • Permanently Ban the User - user is permanently banned from the forum.


Moderators may also rename posts and threads if they are too generic or do not property reflect the content.

Moderators may move threads if they have been posted in the incorrect forum.

Threads/Posts questioning specific moderator decisions or actions (such as "why was a user banned?") are not allowed and will be removed.

The owners of Alpha Software Corporation (Forum Owner) reserve the right to remove, edit, move, or close any thread for any reason; or ban any forum member without notice, reason, or explanation.

Community members are encouraged to click the "Report Post" icon in the lower left of a given post if they feel the post is in violation of the rules. This will alert the Moderators to take a look.

Alpha Software Corporation may amend the guidelines from time to time and may also vary the procedures it sets out where appropriate in a particular case. Your agreement to comply with the guidelines will be deemed agreement to any changes to it.



Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Mail Merge

    Hello Experts.... There are probably lots of ways of doing this, but I don't know what's the best, as I am still new to Alpha 5. I am using Version 9 Platinum on a desktop application. In my Client file, I hold two addresses for each client, and in my agreements file I hold a T/F flag to say whether to use address 1 or address 2 for the particular agreement. Each client has multiple agreements. I use a set to create the data for a mail merge to Word, producing letters which include data from the Agreement table, and the name and relevant address which are held in the Client table.

    How do I set which address is to be 'sent to Word' as part of the mail merge? I know I could hold the relevant address for each agreement in the agreement file, but it seems unnecessary duplication of data. Any advice wouyld be greatly appreciated (bear in mind I am not very expert at code yet)

    Hi Gerard,

    When you select Word to do MailMerge, you have the choice of Current record only or All Records in current query.

    If you want to use an address conditionally, I would recommend using a letter rather than Word.

    You are right not to want to enter the address twice, and you dont need any real code to set the filter for the conditional object.

    If you would like some help with this, post a sample app with dummy data.

      Hello Keith,

      Thanks for the advice. I did originally plan to use the letters feature in A5 for all the letters & documents, but I ran into formatting problems. One letter is actually a contract, which runs to 7 pages, with multiple levels of indent, complicated numbering etc. Most of the other letters are about 3 pages long, and need headers and footers etc (I use blank paper and so have to print letterheadings etc) I just couldn't get the documents to print out accurately in A5, so reverted to using Word via Mail Merge from A5. I don't think there is enough formatting control in A5 letters for what I'm trying to do, and as they are legal documents, they have to be correct.

      I think I may have to double up on templates, having different templates where an alternate address is required. I only need to produce letters for one record at a time, so it should be manageable

        Hey Gerry,

        Attached is a sample database which, I hope, illustrates your situation.

        The tblClients table as 2 email addresses.
        The tblAgreements table as a T/F flag... If T the Eaddr1 from tblClients is used... if F the Eaddr2 from tblClients is used
        Also in the tblAgreements table is a field called Emailaddr

        The problem is that I believe you're going to have to store the email address in the tblAgreements table. From what I can see with A5 and Word Mail Merge you need real fields. I tried a Calculated field - which would have been perfect, but the field does not show up in the list of fields in Word. I'm not sure if it should or not... maybe someone else here could confirm that.

        I put an event on the UseAddr1 (T/F) field that checks for the value and writes the proper email address into the Emailaddr field.

        I know it's not quite what you wanted to do. I can't see how to get access to the tblClients email address for a Word Mail Merge.

        I'd prefer to do this over having a couple of templates - this is easier to manage. Hope that helps.

          Thankyou for the sample - yes it does help. I can't believe how helpful you guys are..... it's fantastic. I will experiment a little, and see if I can utilise that method.

            Still being new to A5 having these challenges to work through really helps in my learning the system. This time around I learned that only real fields make it through to the Word Merge system. However, very happy to find calculated values - and they can be used on layouts.

            I also tried a conditional lookup on the set - trying to get to the Eaddr1 and Eaddr2 in tblClients based on the T/F value in tblAgreements - I couldn't get that to work - that would have been a bit easier - both to do and to understand.

            I also love samples or really detailed explanations - they really help - and if they don't solve the problem directly they almost always lead to a solution.

              If a merge cannot be executed with real field(s) in Alpha directly related to the Word merge field(s), I find the best (only?) approach is to use Xbasic to create a text file containing the required data and merge it with Word.
              This same approach is best when mail-merging to Word from a set.
