Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

    Report/Preview Layout Filtering

Please see attached DB. I have a table <Records> which includes the fields <Last> and <First>. I want to be able to preview the associated report, <Client Record Card> by specific individuals chosen using a single check box list. It seems that I can only choose one field in the Code/Action. I've attempted using an Expression, <alltrim(last) + ", " + alltrim(first)> which gives me a check box with both first and last names, but the report says that there are no pages for the layout. Please see associate db, Codes tab, <Select Client> which works, but doesn't allow me to differentiate between clients with the same last name and different first names. The other codes ending in x_ provide various errors.

Is there a way to do this simply? Thanks.

    Hi Steven,

Have a look in Alpha Sports. Customer reports.

This method allows you to QBF then print the report based on that query.

      Re: Report/Preview Layout Filtering

      Keith,

Thanks for your reply on a Sunday. Alpha Sports is not helpful. I want to filter by Last + First (name). The filtering allowed in the "Preview a Layout" only allows searching one field at a time. It does not appear to allow me to filter by expression such as "Last + First." Please see "Select Client-x1" under Code in database attached to original posting. This is what I want to present to the user, but this code returns no data, even though there is data as demonstrated by running "Select Client" which generates report pages for all clients with the last name "Test" rather than being able to select either "John Test" or "Steven Test."

      Any advice? Thanks. Steven

        Hi Steven,

I dont think you went into the selections deep enough.

Maybe this Video will help better.

Steven, if you can tolerate a bit of redundancy in your data an easy alternative solution is to create a new field in your table and populate it with the concatenated field values of last and first fields. The attached example illustrates how this would work. Extract the contents of the attachment to an empty folder to avoid overwriting your existing work.

            Tom,

Thanks. It exactly what I need. However, where do you define the field "Lastfirst?" In the Table Structure, it simply lists "Lastfirst" as a 30 character, user entered field. Where is the definition of this field which appears to be < alltrim(Last) + ", " + alltrim(First) >?

              Field rules, calculated fields.
              There can be only one.

Steven, I didn't mean to be mysterious. Stan is correct. Going forward you'd use a calc field rule to autofill the LASTFIRST field as new records are entered or old ones are edited.

                  Tom,

I think I may be missing something. In what you sent back to me, the Lastfirst field appears as a 30 character, user entered field, as noted in my earlier post. I don't understand how this field is producing the desired result. Where is the calculation defined? Its not appearing in the field rules. Thanks.

To Stan's point, I did try making a calculated field, but it doesn't produce anything except a blank field. Again, thanks.

                    Tom/Stan,

Just figured out what you were suggesting. For others looking at this post,
                    1. Create new field called Lastfirst for example.
                    2. Under field rules, define as Calculated field.
                    3. Define calculation which in this instance is alltrim(Last) + ", " + alltrim(first).
                    4. And most importantly, after saving the table structure, go under the Utilities menu and chose Recalc Calc Fields.

                    Thanks all for their help.

                      Re: Report/Preview Layout Filtering

                      Steven,

I did not supply the calc field rule in the example I gave you. I didn't know if you would be able to modify your table structure to include a bit of redundant data. My example was intended to simply illustrate how a single field that held both last and first names could produce the desired result. Now you're asking about how to implement that idea in your application, which is a little bit different than the first question you posed at the top of this thread.

Anyway, to produce the example for you I used a batch UPDATE operation which I did not bother to save, so it's missing from the example I gave you, too.

If you've defined the calc field rule for the LASTFIRST table it will be applied automatically when you enter new records or when you save changes to existing records. To autofill the existing records you would "Re-Evaluate" field rules for the table, using the Rules menu while the field rules dialog is open for the table.
