Bonus TIPS for Successful Posting

Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.

When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.

The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.

When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.

A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.

If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.

When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.

Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

Limit # of records in a subreport

I have a report that is based on a set with customer records linked to an invoice table 1 to many. My report pulls each customer and has a sub report that shows the invoices for that customer the problem is some customers have 100s of invoices and I only want to see the last 5 for that customer. In looking for the answer I think I found the solution but I don't know how to use it. It is: mrecno() <= 5 from what I read it is suppose to limit the number of records returned. The example I found doesn't show where to use this. I am using V10 of Alpha any help would be greatly appreciated.

    Thanks
    Ramona

You use in the filter of the subreport.
    Example:
    scanning("..your_child_table_name..").and.mrecno()<=5

Re: Limit # of records in a subreport

There is a conflict with the filter for the main report. Your best bet instead of the back & forth is to post a sample db. I don't normally use mrecno() in a report. I'd use something like TOP_RECORDS() but nonetheless, I think there is some conflict with the main filter or something else.

From the Control Panel: Tools->zip database.
You could remove any sensitive information by either:
1-Delete the records, zip the database, then undelete the records (not a very good way to do it), or better
2-Copy the tables/sets but don't copy the records. then zip the newly created copy

Re: Limit # of records in a subreport

Here is the database when it opens on the main menu in the lower right hand corner is the hotspot for the control panel. In reports it is work_order and if you go to page 30 you will see how the list of invoices at the bottom splills over onto the next page I am trying to limit it to the 5 most recent invoices only. On the main menu is a button that takes you to another menu with months to pull the work orders based on data in the "fe" field on the customer table. Thank you for taking the time to help with this problem.

Since I haven't heard from you again does this mean that what I am trying to do can't be done?

Re: Limit # of records in a subreport

No..it's doable and I wanted to make a sample..however, this weekend I was focused on a large project and haven't had a chance to. There was a similar questions couple years ago (I believe it was someone who has a db for llamas) and there were several suggestions and samples but the bottom line is to do what you want the best way to do that is to summarize the child table and put the summary table in the set instead of the child table itself and base the report on that. To summarize the child table you might have to do that with an UDF.

Re: Limit # of records in a subreport

THank you I'm sorry for being impatient. I am just greatful that you are trying to help me. The child table is a summary table that only pulls invoices that start with 2 because our invoice start with different numbers based on the product sold. For most of our customer it works fine because they only have one invoice in a year but we have some customers that have invoices every month or every week or several in a month and I don't know how to limit that data. What they are wanting to see is the most recent invoices and the pay history of that customer. In Access it lets you put a border around that data and it limits the field size is that not possible in Alpha5? It would make this problem so much easier.

Re: Limit # of records in a subreport

I just realized something based on what you suggested and that is that my child table doesn't work right it is not pulling new invoices from the invoice table so I need to work on that first before I can move on. I am researching the summary table thing and will try that to see what happens.

Re: Limit # of records in a subreport

What I meant is to summarize it further to only show the most recent 5 invoices.

I don't know how to do that. And when you say the most recent 5 invoices, is that per customer or overall?

I am assuming you want the most recent 5 per customer.
