I know enough to be dangerous... Can anyone tell me how I could run a report and write an expression that would give me the sum of a same field but in different records... Example: field1 record 1 has a value of 460.0000 and record 2 same field1 has 465.0000... the sum of field1 = 5.000... I want to run a report that can give me the sum of each record being sorted in the order of field information... I have the records sorted by field 1 not by records so that field 1 will be in order of value smaller to larger etc... I hope this makes some sort of since... Any help would be greatly appreciated...

The Alpha Software Forum Participation Guidelines
The Alpha Software Forum is a free forum created for Alpha Software Developer Community to ask for help, exchange ideas, and share solutions. Alpha Software strives to create an environment where all members of the community can feel safe to participate. In order to ensure the Alpha Software Forum is a place where all feel welcome, forum participants are expected to behave as follows:
Be sure all comments and threads you post are respectful. Posts that contain any of the following content will be considered a violation of your agreement as a member of the Alpha Software Forum Community and will be moderated:
If a thread or post is found to contain any of the content outlined above, a moderator may choose to take one of the following actions:
Moderators may also rename posts and threads if they are too generic or do not property reflect the content.
Moderators may move threads if they have been posted in the incorrect forum.
Threads/Posts questioning specific moderator decisions or actions (such as "why was a user banned?") are not allowed and will be removed.
The owners of Alpha Software Corporation (Forum Owner) reserve the right to remove, edit, move, or close any thread for any reason; or ban any forum member without notice, reason, or explanation.
Community members are encouraged to click the "Report Post" icon in the lower left of a given post if they feel the post is in violation of the rules. This will alert the Moderators to take a look.
Alpha Software Corporation may amend the guidelines from time to time and may also vary the procedures it sets out where appropriate in a particular case. Your agreement to comply with the guidelines will be deemed agreement to any changes to it.
Bonus TIPS for Successful Posting
Try a Search First
It is highly recommended that a Search be done on your topic before posting, as many questions have been answered in prior posts. As with any search engine, the shorter the search term, the more "hits" will be returned, but the more specific the search term is, the greater the relevance of those "hits". Searching for "table" might well return every message on the board while "tablesum" would greatly restrict the number of messages returned.
When you do post
First, make sure you are posting your question in the correct forum. For example, if you post an issue regarding Desktop applications on the Mobile & Browser Applications board , not only will your question not be seen by the appropriate audience, it may also be removed or relocated.
The more detail you provide about your problem or question, the more likely someone is to understand your request and be able to help. A sample database with a minimum of records (and its support files, zipped together) will make it much easier to diagnose issues with your application. Screen shots of error messages are especially helpful.
When explaining how to reproduce your problem, please be as detailed as possible. Describe every step, click-by-click and keypress-by-keypress. Otherwise when others try to duplicate your problem, they may do something slightly different and end up with different results.
A note about attachments
You may only attach one file to each message. Attachment file size is limited to 2MB. If you need to include several files, you may do so by zipping them into a single archive.
If you forgot to attach your files to your post, please do NOT create a new thread. Instead, reply to your original message and attach the file there.
When attaching screen shots, it is best to attach an image file (.BMP, .JPG, .GIF, .PNG, etc.) or a zip file of several images, as opposed to a Word document containing the screen shots. Because Word documents are prone to viruses, many message board users will not open your Word file, therefore limiting their ability to help you.
Similarly, if you are uploading a zipped archive, you should simply create a .ZIP file and not a self-extracting .EXE as many users will not run your EXE file.

- Sexually explicit or violent material, links, or language.
- Pirated, hacked, or copyright-infringing material.

Open your report in design mode
Make the drag-frop list visible
Choose the footer to hold the total (report, page, group)
Drag the field to be totaled into the footer and drop it
When the summary genie appears, specify total
Reading more closely, what you describe as a sum I would call something entirely different.
In your example, you want the value 5 to show as the difference between record 2, field1 and record 1, field1? This should appear in the detail line for record 2?
If so define a calculated field for the report, expression
if(previous("field1")>0,field1 - previous("field1",0)
place that calculated field in the detail line and specify "Value..."Last edited by Stan Mathews; 02-08-2007, 06:18 PM.There can be only one.

Re: Need help on configuring a subtotal for a report!!!
Thank you sooooo much for the reply... Here is the results of what you had me do...
You are correct in the last part of your assumption...
I am trying to do a calculation between 2 records with the same field and the sort order is contingent upon the information of the field... The inputted information to field is not in any order but when I do a report it is sorted by that field and it needs the calculation to take place in that order so record 1, field2, which is the correct field not field1 as stated earlier, could be 460.0000 and record 25 which is next due to the sorting of that field is 465.0000 with the value of 5.000...
Here is what happened when I used your info...
It came back as "Invalid or incorrect expression"
I went to the drop down box and selected the calculated field, New Calc/Summary and dragged it to the detailed area... The info on the field I am trying to use is showing the following: OBJECT:Field2, Field: stadium_user->FREQ, display: 10.4
I wrote the expression as follows: if(previous("field2)>0,field2-previous("field2",0)
It said invalid or incomplete expression... I didn't leave a space between field2-previous...
What did I do wrong???
Thanks...

Re: Need help on configuring a subtotal for a report!!!
if(previous("field2)>0,field2-previous("field2",0)
if that is cut and pasted you are missing a quote
if(previous("field2")>0,field2-previous("field2",0)
I realize now that field1 and field2 are the object names on the report. In a report calculated field you need the actual table field names.
if(previous("freq")>0,freq-previous("freq",0)There can be only one.

Below is what I did...
Sorry for being such a pain...
if(previous("freq")>0,freq-previous("freq",0)
I see 3 ( and 2 ) - every ( needs a ) and every ) needs a (
if(previous("freq")>0,freq-previous("freq",0))
What is the green zero in the previous function? You need to have the name of the index to use there.
Upon further review you may need to have the ) here.. if(previous("freq")>0,freq-previous("freq"),0)
otherwise post enough of your system so we can work directly with it.Al Buchholz

Re: Need help on configuring a subtotal for a report!!!
Sorry Al. My original mistake compounded. Meant to have
if(previous("freq")>0,freq-previous("freq"),0)
The usual trick to create a calculated field which when totaled yields the total for a "filtered" subset of records.There can be only one.

Re: Need help on configuring a subtotal for a report!!!
Keller
As a follow up, the expression builder is a great place to build simple and complex expressions.
Remember that a complex expression is a number of simple expressions put together. So sometimes building in steps is appropriate.
I will do that by keeping a copy of notepad open and cutting and pasting portions of expressions together.
The expression builder will help with the process by showing prompts and help about close matches as you type. It's a great reminder about the parameters that are needed.
You may want to review some of the tutorials to see this and some of the other tools that Alpha 5 has.
Have fun! We do... :)Al Buchholz
